EXNW and RESO Filming Notice (Photography, Video, Recording, and Likeness)
By attending the East by Northwest (EXNW) Global Summit, you acknowledge and agree that photographs, videos, and audio recordings may be taken during the conference by the event organizers, their representatives, and/or authorized third parties. You acknowledge that these media assets may include your likeness, voice, and participation in conference activities. You agree to the following regarding any materials captured during the conference for publicity and promotional purposes:
Consent for Use: You grant EXNW and the Racial Equity Screen Office (RESO) and its affiliated entities, sponsors, partners, etc. the irrevocable and unrestricted right to use, reproduce, display, publish, distribute, and modify any photographs, videos, audio recordings, or other media captured during the conference, which may include your likeness, voice, and participation.
Purpose of Use: The materials captured may be used for promotional, advertising, educational, or informational purposes related to EXNW, RESO and the organizers’ authorized third parties. This includes, but is not limited to, website content, social media posts, brochures, press releases, newsletters, and other marketing materials.
No Compensation: You understand and agree that no compensation, monetary or otherwise, will be provided for the use of your likeness, voice, or materials captured during the conference. This usage is voluntary and without any expectation of payment or royalties.
Ownership and Rights: EXNW and RESO and its affiliated entities and sponsors shall own all rights, title, and interest in the photographs, videos, audio recordings, or other media captured during the conference, including the right to copyright, reproduce, distribute, display, and modify the materials.
Release of Liability: You release EXNW, RESO, its organizers, staff, and any third parties authorized by EXNW and RESO, from any claims, demands, or causes of action arising out of or in connection with the use, reproduction, distribution, display, or modification of the materials captured during the conference, including any claims for invasion of privacy, defamation, or copyright infringement.
Exclusion of Confidential Information: EXNW and RESO will make reasonable efforts to ensure that any confidential or sensitive information is excluded from publicly used materials. However, it is your responsibility to avoid sharing or discussing any confidential or sensitive information during conference sessions, discussions, or other public settings.
Please be aware that these media assets may be made available to the general public, including individuals who are not affiliated with the conference. Such media usage may occur without any further permission from or compensation to you.
If you do not wish to be photographed, filmed, or recorded, please inform the conference organizers or their staff members on-site. We will make reasonable efforts to accommodate your request. However, please note that we cannot guarantee that you will not be included incidentally or inadvertently in the background of photographs, videos, or recordings taken during the conference.
Please also be aware that attendees, participants, or third parties may be taking photographs, videos, or recordings during the conference independently from the event organizers. The conference organizers cannot control or take responsibility for the use, distribution, or publication of such media assets
If you do not wish to grant the permissions outlined in this notice, please inform the conference organizers in writing prior to the conference or at the registration desk upon arrival.
Please note that this notice is in effect for the duration of EXNW and its related events.
